Privacy Policy

A practical summary of how DozenSocial handles information used to provide the service.

Last updated: 14 September 2026

1. Who is responsible for your information?

The responsible party is Emmanuel Vermaak trading as DozenSocial, a sole proprietor / trading name.

  • Address: 97 Victoria Street, George, Western Cape, 6529
  • Phone: 061 112 7455
  • Privacy email: hello@dozensocial.co.za
  • Information Officer: Emmanuel Vermaak (registered with the Information Regulator)

2. What information may we collect?

Depending on how you use DozenSocial, we may collect or process:

  • business and contact information you submit, including names, business details, email addresses, phone numbers, service areas and social-media links;
  • information you provide during onboarding, including brand voice, goals, products or services, campaign details, prices, dates, specials and other facts you ask us to use;
  • publicly available business information retrieved from a website URL you provide when you use the website-scan feature;
  • your uploaded logos, photos and other files;
  • information needed to communicate with you about a taster request, onboarding, a content pack, delivery, support or another service-related matter; and
  • payment-related transaction information made available by the payment provider, such as payment status or a transaction reference. Payment information you enter directly with a payment provider is handled under that provider's own privacy terms.

3. Why do we process information?

We process information for purposes connected with the service, including to respond to a request you make, prepare a personalised 3-post taster, scan a website you submit, prepare and manage a paid content pack, communicate about the service, deliver files, maintain service records, prevent misuse, meet legal obligations and operate the service responsibly.

We do not rely on one blanket legal basis for every activity. Depending on the context, processing may be necessary to take steps you request before a service is supplied, to perform or manage the service, to meet a legal obligation, for a legitimate operational purpose permitted by law, or on consent where consent is specifically required.

4. Website scanning

When you choose to scan a website, DozenSocial retrieves publicly available information from the URL you provide to suggest business details. Scan results are suggestions only. You are responsible for reviewing and confirming them before submission, and client-entered information takes priority over a scan suggestion.

5. Uploads and service providers

Uploads are stored in private DozenSocial cloud storage and used to prepare your content. DozenSocial may use service-provider categories such as website hosting, private cloud storage, website scanning, transactional email, payment processing and related technical infrastructure where reasonably needed to operate the service.

Some providers may process information outside South Africa depending on their infrastructure. Where cross-border processing applies, DozenSocial will use the service in a manner intended to meet applicable South African data-protection requirements and will not claim a storage location that has not been verified.

6. Security

DozenSocial uses reasonable technical and organisational measures appropriate to the service and the information handled, including private storage controls where configured. No online service can guarantee absolute security, and this policy does not make such a guarantee.

7. Retention

Information is retained only for as long as reasonably necessary for the purpose for which it was collected, to provide and administer the service, resolve queries, maintain appropriate business records, or meet legal requirements. When information is no longer reasonably required, it may be deleted or de-identified, subject to lawful retention needs and normal backup cycles.

8. Your rights

Subject to applicable law and the circumstances, you may ask for access to personal information DozenSocial holds about you, request correction or deletion of inaccurate or unnecessary information, object to certain processing, or withdraw consent where consent is the applicable basis. Some requests may be limited where another legal basis or retention duty applies.

To make a privacy request, email hello@dozensocial.co.za. DozenSocial may need enough information to verify and action the request safely.

9. Complaints

You may first contact DozenSocial at hello@dozensocial.co.za. You may also lodge a POPIA complaint with the Information Regulator (South Africa) through its official eServices portal: eservices.inforegulator.org.za. The Regulator's published contact details include 010 023 5200 and enquiries@inforegulator.org.za.

10. Updates

This policy may be updated when the service, providers or legal requirements change. The current version should be read together with the DozenSocial Terms.
